Setting Up Ticket Scanning
What is the scanning setup?
Section titled “What is the scanning setup?”Before your staff can scan tickets at the gate, you need to define the physical entry points at your venue in Stadli and optionally download an offline scan cache for reliability in low-connectivity environments.
Step 1 — Create gates
Section titled “Step 1 — Create gates”Path: Admin > Seats > Access > Gates
Gates represent the physical entry points at your venue (e.g., “Gate A — North”, “Gate B — South”, “Premium Entrance”).
- Click New Gate.
- Enter the gate name.
- Click Save.
Create one gate per physical entry point.
Step 2 — Create access points and assign sections
Section titled “Step 2 — Create access points and assign sections”Path: Admin > Seats > Access > Access Points
Access points group sections behind specific gates. When a scanner uses a specific access point, Stadli only validates tickets for sections assigned to that access point.
- Click New Access Point.
- Enter a name (e.g., “North Stand Entry”).
- Assign one or more gates to this access point.
- Assign sections — all seats in these sections will route to this access point.
- Click Save.
Step 3 — Download the scan cache (optional, recommended)

The scan cache pre-loads all valid tickets for an event onto the scanning device. This allows scanning to continue even if the venue’s internet connection drops during the game.
- Select the event from the gate dashboard.
- Click Download Cache.
- The device stores the cache locally.
The cache is valid for the event date. Refresh it close to game time (within 1–2 hours) to include late purchases.
Giving gate staff access
Section titled “Giving gate staff access”Gate staff need the Gate Staff role to access the scanning interface. Assign this role under Admin > Settings > Users. Gate Staff can only access the gate scanning screen — not orders, CRM, or reports.
What could go wrong
Section titled “What could go wrong”- “Gate staff see the wrong sections” — Check the access point’s section assignment. If a section is not assigned to any access point, it will be accepted at any gate by default.
- “Cache is outdated” — Download a fresh cache within 1 hour of gates opening to capture last-minute purchases.
- “Scanning device won’t connect” — Use the offline cache if internet is unavailable. Ensure the cache was downloaded before connectivity was lost.
