User Management & Roles
What is user management?
Section titled “What is user management?”User management controls who on your staff can log into the Stadli admin and what they can do once logged in. Every person who needs admin access must be invited and assigned a role.

Roles overview
Section titled “Roles overview”Stadli has four built-in roles:

| Super Admin | Full access to everything — all modules, all settings, all data |
| Box Office | Games, inventory, orders (including manual sales and terminal), seats, CRM, reports, commerce |
| Marketing | CRM, marketing campaigns, surveys, reports |
| Gate Staff | Gate scanning only — no access to orders, CRM, or settings |
Assign the most restrictive role that covers the person’s actual job. Gate staff who only scan tickets should be Gate Staff. Marketing coordinators who run campaigns should be Marketing.
Inviting an admin
Section titled “Inviting an admin”Path: Admin > Settings > Users > Invite Admin
- Click Invite Admin.
- Enter the person’s email address.
- Select their role.
- Click Send Invitation.
The person receives an email with a link to set their password. The link expires after 48 hours. If they do not accept in time, resend the invitation.
Resending an invitation: Find the pending invitation in the user list and click Resend Invitation.
Changing a role
Section titled “Changing a role”Path: Admin > Settings > Users > [Admin Name] > Edit Role
- Click the admin’s name.
- Select a new role from the dropdown.
- Click Save.
The change takes effect on their next page load — they do not need to log out.
Custom permissions
Section titled “Custom permissions”If a built-in role is too broad or too narrow, you can customize permissions per admin.
Path: Admin > Settings > Users > [Admin Name] > Permissions
The permissions panel shows every module and whether the admin has Read, Write, or No Access:

| Gate | Use the ticket scanning interface |
| VIP Accreditations | Manage VIP passes and credentials |
| Commerce | Manage merchandise products and orders |
Custom permissions override the role defaults for that admin.
Revoking access
Section titled “Revoking access”Path: Admin > Settings > Users > [Admin Name] > Revoke Access
Revoking access immediately prevents the admin from logging in. The record is retained — you can restore access later.
Restoring access: Find the revoked admin in the user list (filter: Revoked) and click Restore Access.
Permanent removal: Click Remove Permanently to delete the admin record entirely. This cannot be undone. Only use this for former employees whose data should no longer appear in audit logs.
Password resets
Section titled “Password resets”Path: Admin > Settings > Users > [Admin Name] > Send Password Reset
Sends the admin an email with a link to set a new password. Use this if they are locked out or forgot their password.
Admin Activity Log
Section titled “Admin Activity Log”Path: Admin > Settings > Activity Log
Every admin action — logins, order changes, refunds, settings updates — is logged with timestamp, admin name, and IP address. Use the activity log to:
- Audit who made a change
- Investigate unauthorized access
- Comply with internal security review requirements
Logs are retained for at least 90 days.
What could go wrong
Section titled “What could go wrong”- “Invitation expired before they accepted” — Resend the invitation from the Users list.
- “Gate staff can see orders” — Check their role and custom permissions. Gate Staff should have no access to the Orders module. Remove the write permission if it was accidentally granted.
- “I locked myself out” — Contact another Super Admin on your account to restore your access, or contact Stadli support.
- “Admin shows as active but is no longer at our organization” — Revoke access immediately, then review the Activity Log to see what they accessed.
